Job description:

  • Monitoring and updating personnel location log, vacation log, offshore log, training matrix and employee databases. 
  • Collation of weekly timesheets and jobsheets for all employees, updating ERP system with relevant and accurate information.
  • Matching hours on client jobsheets with internal timesheets. 
  • Liasing with ERP administrator regarding timekeeping issues.   
  • Open new jobs in Quickbooks system and create new job folders on server, updating job and enquiry logs with accurate and timely information.  
  • Assisting Lead cost controller when required, liasing with accounts dept as necessary regarding invoicing issues.
  • Send completed job for invoicing to accounts dept.  
  • Carrying out cost control duties, updating of cost sheets.        
  • General copying and filing of documentation.    
  • Preparing purchase requisitions and interfacing with the procurement dept.     
  • Preparation of personnel daily attendance list for the Valve workshop.
  • Handle incoming mail, typing letters or internal memos as required.  
  • Interface between HR and Valve workshop personnel regarding all training requirements, absence request forms, medical insurance and annual leave.
  • Document control, including preparation and issuing of document transmittals; filing of project related or administration documents; scanning documents. 
  • Documents translation (Azerbaijani & English);Ordering /distribution of stationary for the department. 
  • Control and issuing of test equipment, registration and re-calibration of test equipment. 
  • Maintain test equipment logs and also lifting equipment logs. 
  • Working closely with commercial department to ensure Ariba enquiries are responded to in time.   
  • Assisting the Workshop team leader and Operations & Workshop Manager as required to ensure that the department operates effectively and efficiently.  


  •  Min 5 years experience as Co-coordinator or Administrator in the Service  sector of the Oil and Gas Industry
