Job Description:

  • Processing of customer enquiries in a timely and courteous manner.
  • Issuing quotations which are in line with the pricing and discount structure agreed by either Frame Agreements, customer specific agreements or as per the department procedures for product pricing or discount models.
  • Ensure full compliance and understanding of the ERP system.
  • To ensure that all customer orders are entered into the ERP system in a timely manner with sufficient information to allow down stream departments to complete the work.
  • To ensure that all customer orders are reviewed to confirm compliance with our quotation and that our obligations and commitments can still be achieved.
  • To advise the customer of any changes to product, delivery/part delivery immediately.
  • To take advantage of all opportunities to advise customers on product ranges or alternatives which are acceptable for the purpose to which they are to be used.
  • To take advantage of all opportunities to advise customers on new products or lines, that could be of interest to their business.
  • To ensure that costs for additional services such as freight and essential overtime costs are advised and agreed by the customer in advance for customers who require immediate service.
  • To provide customers with an accurate and timely response to their enquiries.
  • To liaise with company with regard to product availability, delivery times or product assembly or manufacture.
  • To liaise with the Engineering Department for specific engineering queries on design or type.
  • To ensure a satisfactory customer care and after sales service.
  • To be responsible for knowing and understanding the sales department targets and objectives.
    Preparing CTR Estimates for HIM Scopes of Work in accordance with the agreed Contract Rates or Standard Company Rates.
  • Follow-up on submitted CTR’s to ensure Call-off Orders are issued for work prior to mobilization of personnel to site.
  • Prepare Customer invoices in accordance with agreed formats.
  • Pursue customers for overdue payments ensuring a professional, methodical and effective approach is applied at all times
  • Deal with customer queries and ensure appropriate action is taken to ensure payments are released.
  • For large invoices ensure customer has received invoice and has processed for payment – prior to invoice becoming overdue, to ensure no delays with payment.
  • Maintain good working relationship with customers, projecting professional image of company at all times
  • Assist with processing of periodic, special invoices or self billing accounts.
  • Pursue invoices under retention or bank guarantee etc at appropriate time.
  • Participate in both internal / external audits
  • To be responsible for knowing and understanding your company targets and objectives.
  • To be responsible for understanding, agreeing and achieving personal objectives set by the Branch Manager
  • To adhere to the procedures as laid down by the Safety Management System and Quality Management System.
  • To adhere to the procedures as laid down by the Human Resource Management System and to take an active part in the Performance Management Process and the Competence and Training Programme.
  • To adhere to any duty rota that may be in force.
  • To complete timesheets on a timely basis.
  • To put forward any suggestions for improvements.
  • To attend formal Team Briefings when requested in your own time.
  • To be a team member and actively promote communication and information sharing.


  • Experience in either Customer Services or Accounts function
  • 2 years experience in a Customer Services / Accounts environment in the industry
  • Good written and verbal communications skills in English, Azeri and Russian
  • Good analytical skills
  • Team Player
  • Computer Literate in Microsoft Office
  • Good motivation and negotiating skills
  • A good understanding of ERP Systems
