Project Administrator
Summary of Role

To participate as an integral member of the Project Team to support the Projects and reporting activities to ensure that the Projects are delivered on time, on budget, to customer satisfaction and accurately maintained in our Financial and Business Management Systems, from Order Entry to Contract Closure.
Learn the project roles and develop a strong practical understanding of how to utilize internal and third party resources, material and services to meet project requirements.

Specific Job Responsibilities

Be single point of contact for all documentation related issues, queries, clarifications and timely escalate to relevant BU support team, Develop & keep project documentation files, Cover auxiliary documentation needs on demand.

Provide General Administrative support to the Project Manager, to maintain accurate and timely Project Reporting / Project Metrics and track improvements in Schedule and Budget. Proactively support the efforts of the Project Team to achieve the Project objectives and take an active role in the development of the team, continuous improvement initiatives and working on own initiative for regular tasks and making decisions with minimal supervision and support.

Provide support to the Project Teams for customer reports, internal reports, project reviews, and management reports to communicate and manage the performance of the projects. Create, maintain and manage the project files from handover at Order Entry through the life of the projects. Participate in the Project Reviews both locally and globally, maintain the MoM and follow through to ensure actions are completed. Maintain the POR Forecasting Tools used by the Project Teams to provide accurate monthly phased forecasts of costs and backlog for Projects. Coordination with Operations and Finance for monthly Financial reporting; assuring EAC’s, Change Orders, Timesheets and other project financials are accurately maintained throughout the month and finalised monthly in the business systems. Manage Invoicing in line with forecast requirements both internally and with the customers.

Support the Project Manager to develop and implement new process and procedures and maintain the IMS with the required processes, templates and forms. Assist the Project Teams in working their processes, procedures and reporting tools to drive process and performance improvements for Project Execution. Provide support to develop and implement other tasks that provide benefits to the business from execution improvements in our projects e.g. Input Oracle Purchase Requisitions from Engineering Information for Project Purchases, Loading of Customer Specifications to OCM etc.
• Experience of working in a Project Management and Engineering Environment and experience of the Financial Operations of a Business i.e. Revenue Recognition, POC Reporting, EAC’s, GP etc..
• Proficient in the use of MS Office
• Self-Motivated, adept at working in a busy Team environment and keen to learn and apply new skills.
• Strict adherence to office working hour
